Preparation Checklist for Group Leaders

Before the trip 

1. Send a non-refundable deposit ($50 for day and camping programs, $100 for overnight Farm Stays) per day to hold your spot.  This deposit is applied to the fee for your group and if your group cancels, the deposit is forfeited. Your field trip is not confirmed until we receive your deposit.

  • To pay by check, please mail a check with your group name and the date of the trip in the memo line to 1545 Rockton Road, Caledonia, IL, 61011.
  • To pay over the phone, call 815-389-8455 between 9am-4:30pm with a credit card and speak with Becca, the On-Farm Program Assistant.
  • Pay online here.

2. Review all orientation materials. You'll find everything you need on the Important Information for Custom Groups page.


3. Share orientation materials with participants (and their parents, if applicable) including Safety Guidelines, the list of What to Bring, and Waiver Forms.

4. Requst a ‘certificate of insurance’ for the group from your insurance company.  "Angelic Organics Learning Center" should be named on the certificate. Send to learn@learngrowconnect.org or by fax to 425-969-0317.  

 

Two weeks before the trip

 5. Confirm the final number of participants with Program Director Katie Townsend and submit final payment.  Pay the full amount  before the farm trip. If you need an updated invoice, please email learn@learngrowconnect.org.

If you haven't already, ensure your certificate of insurance has been sent to learn@learngrowconnect.org.

 6. For youth and school groups, fill out the School and Youth Groups Information Form.

  • You can either fill out the form online here or 
  • Use the printable form here and bring the completed version with you on the day of your trip. 

7. Fill out the Demographic Summary form with estimates for your group. This helps us understand the composition of groups that visit the farm and is required information for some of our funders.  


Day of the trip

8. Make sure you have signed Custom Program Waiver forms for each member of your group and you have filled out the School and Youth Groups Information Form. 

9. Review directions to our farm to ensure your group arrives on time.
